• Join as a member or renew your membership (e.g. name, contact details, emergency contact, child/ren’s first name and age range for toy suitability).
• Borrow or reserve toys, pay fees, or participate in events and rosters.

We also collect limited technical information when you use our website (such as IP address, basic device/browser info and server logs). We may use cookies to support site functionality. We do not currently run advertising cookies.
How we use your information
• To manage your membership, reservations, loans, and fees.
• To operate rosters and contact you about sessions and duties.
• To communicate news, closures and events (you can opt out of non-essential emails).
• To improve our services, plan stock and report to funders in aggregated, de‑identified form.
Legal basis
We process personal information to run our charitable service (our legitimate activities and, where required, with your consent). We only collect information that is reasonably necessary for these purposes.
Sharing your information
We use reputable service providers to help us operate:
• MiBase (our toy library management system) for memberships, loans and fees.
• Email and mailing tools (e.g. newsletter providers) for updates you opt into.
• Payment services (where used) for processing fees and donations.
These providers may store information in New Zealand or overseas. We ensure reasonable safeguards are in place and only share what is needed for the service. We do not sell your personal information.
Children’s information
We only record children’s details that are necessary for safe and suitable toy lending (e.g. first name and age range). Parents/guardians can ask us to correct or delete these details at any time.
Retention
We keep membership and transaction information for as long as required for our operations and legal/accounting purposes, then securely delete or anonymise it.
Your rights
• Access and request a copy of your information.
• Ask us to correct any inaccuracies.
• Withdraw consent for optional communications at any time.
Security
We use reasonable technical and organisational measures to protect personal information. No system is perfectly secure; we will notify you of any notifiable breach as required by law.
